Position: Control Desk Coordinator
Responsible to: Director – Aquatics & Programming
Working Hours: 37.5 hours/week – times may vary

SETTING

The Aquatics Facility at the Bell Aliant Centre features a 25-metre, eight-lane recreational and competitive pool with two 1-metre diving boards and one 3-meter diving boards as well as a stadium seating capacity of 660. In addition to this, there is a leisure pool designed to accommodate a variety of programming and recreational swimming. The aquatics facility also offers a hot tub, waterslide, and parent observation seating area.
Our aquatics facility is fully accessible to persons of any ability level. Our change rooms offer wheelchair accessible dressing areas and showers. The family changing room is equipped with changing rooms and lockers reserved for individuals with visual impairment. We also have a water-wheelchair, wheelchair lift, and a set of portable stairs which are designed to eliminate strain caused by ladders. In addition to these features, our leisure pool has a ramp which begins at zero depth to accommodate users with limited mobility.

NATURE OF WORK

The Control Desk coordinator is responsible for coordinating the daily operations of the Control & Information desk and respective staff. This individual will ensure that customer service is at the forefront of all transactions created through the Control Desk. The Control Desk Coordinator is responsible for ensuring appropriate and adequate staffing, staff training, merchandise and office supplies inventory and ordering. This individual will remain in close communication with Aquatics Department Administration to ensure the Control Desk operates in the most effective manner possible. Our Control Desk Coordinator will be experienced in customer service and have exceptional leadership, communication, and problem-solving skills to provide positive experiences for all users. This individual is responsible for program registration, switchboard phone use, internal and external communication, pool admission and sale of services and products. Control Desk Coordinator is also required to operate computer systems including parking systems and registration software. The main role for staff in this position is customer service and satisfaction.

ILLUSTRATIVE EXAMPLES OF WORK

• Conduct customer service duties
• Process payments, returns, gift cards etc.
• Perform program registration
• Complete Merchandise Sales and Inventory in a timely manner
• Maintain inventory of, and order/purchase supplies and merchandise as necessary
• Monitor and contact waitlists as necessary
• Contact any unpaid transactions in database monthly
• Ensure that the front desk is exclusively used by appropriate staff members
• Communicate with staff and patrons via telephone and email
• Respond to, or appropriately direct, complaints or inquiries
• Assist in planning and participate in quarterly in-service training
• Control and monitor facility parking
• Enforce facility rules and regulations
• Work with other staff to ensure proper communication and seamless delivery of information to users
• Conduct timely follow-ups to customer requests

• Communicate any staffing concerns to Aquatics Administration
• Screening and Hiring of Control Desk Staff
• Coach, mentor & develop new and existing staff where necessary
• Maintain the Control Desk staff schedule
• Perform other duties associated with the safe and effective operation of the Complex as required by supervisory
employees

KNOWLEDGE, SKILLS & ABILITIES

• Knowledge of computer systems and word processing programs
• Knowledge of aquatic programming including swimming lessons
• Knowledge of safe work practices
• Knowledge of applicable provincial legislation, industry best practices and policies and procedures
• Ability to work independently and as a contribution member of a team
• Ability to promote water safety and drowning prevention through public education
• Ability and willingness to be flexible in a changing work environment
• Ability to establish and maintain respectful and cooperative working relationships with all teammates

QUALIFICATIONS

QUALIFICATIONS CONSIDERED AN ASSET
Standard First Aid & CPR-C/AED (current within 3 years)

CONDITIONS OF EMPLOYMENT

• Complete a criminal record check
• Complete a vulnerable sector check

EXPERIENCE & EDUCATIONAL REQUIREMENTS

• Previous experience in customer service will be considered an asset
• Previous experience in performance management of staff
• Previous experience in scheduling shift work
• Post-Secondary education will be considered an asset
